2010 Fall Move-In Information!
Fall Move-In for most properties are between Sept. 1-15. Remember forms for ACH, parking, etc. are due by August 15! Rent will be debited automatically on 9/1 so please remember to get your money in the account before then! Designating a roommate as "treasurer" is the easiest way to keep track of everything.

Maintenance
As an added convenience, current residents can email in regular non emergency maintenance requests directly to Campus Handyman. [Maintenance Requests Only] Please keep this email address handy and feel free to use it for all maintenance requests. Please be sure to set up an appointment to have your maintenance needs taken care of and be sure to BE HOME for the appointment if you agreed to when placing the request!
For security breaches or serious illness, please call 911 and calmly give the dispatcher your name and address.
Rent Payment Information
PLEASE NOTE RENT IS DUE ON THE 1ST OF EACH MONTH AND IS AUTOMATICALLY WITHDRAWN FROM AN ACCOUNT YOU SELECT BEFORE MOVING IN VIA ACH DEBIT (AUTOMATED CLEARING HOUSE). ACH Debit Form is available here.
- Your lease agreement is paid in twelve equal monthly payments including September.
- The rent payment is automatically debited on the first of each month. It is the responsibility of the residents to notify our office via email at least 4 DAYS before the first if you need us to delay the debit!
- All delayed debits are subject to late fees and a recurring daily charge as per your lease agreement until paid in full.
- ACH Debit transactions for which sufficient funds are not available will be subject to a Thirty-Six Dollar ($36) processing fee.
- Utility and/or other payments may be mailed to our PO BOX and must be in the form of a check or money order.
- Any check returned from the bank, regardless of reason, is subject to a bounced check fee of $35. In addition, if we do receive a returned check, we reserve the right to require any and all future payments be made by money order. See the note below for more on NSF checks.
What happens if my group can not pay rent in full by the first of the month? It is important that you understand our policy at Nicastro Properties, LLC. If we do not have your rent payment in full by the first of the month, you may be assessed a late fee. In addition, for each day thereafter that we do not have your full rent payment, we will charge you a daily fee until your account is paid IN FULL (as per your lease agreement).
However, one simple email before the 1st can alleviate many of these problems and fees!! Situations can arise where all but 1 or 2 residents will have rent ready by the 1st. In this case you must notify us at least 4 days prior to the first to arrange an alternate debit. We can debit your account for the total collected, and initiate a separate debit once the remaining rent is ready. The earlier we know there is a problem, the sooner we will be able to work out an agreement that benefits both parties and avoids charging you fees! The important thing is not to ignore your financial responsibilities. NOTE: If you simply ask us to delay your debit or debit less than your full rental amount, we will. We’d rather work with our residents than initiate a debit that will bounce and cause more work and fees for all of us!!

Moving In
New leases begin on September 15th. New tenants can begin to contact our office as early as August 1st, to schedule your move in date and time. Early move ins are available on a limited first come, first served basis. In some cases, you can move in as early as September 1st. Any move ins set before September 15th require the signing of an "early move in release." Please note that your September rent is not pro-rated and is due the day you move in. If you choose to move in early, your unit may not be cleaned or turned over - this is due to extremely high demand to move in as close to September 1st as possible. The prior tenants' lease is through August 31st (as is yours) making it impossible to turn a unit over by September 1st. You are welcome to schedule an early move in, but you then take over the general cleaning of the unit. We will always take care of any maintenance needed, but you must allow our workers to work around you since you are already moved in! While it is our goal to get the cleaners through every one of our units, sometimes it is just not possible. If you can wait until September 2-14, you have a better chance of having your unit prepped!
Your entire group does not need to be present for move in, however when you email to set your move in appointment, you will need to provide a contact person and contact cell phone number for your move in day. Your contact person will also receive all of your keys.
Prior to moving in, you must fill out the ACH Rent Payment Form and send it into our office along with a voided check or deposit slip. We cannot schedule your move in until this form is complete!! Rent will be debited from your account on September 1st regardless of move in day so it is imperative that you contact your roommates (if applicable) to collect their portion of rent in time for this debit!! Remember, the lease is made up of 12 equal payments that begin on September 1st regardless of move in day!
If your home has off street parking, you may purchase a parking pass that lasts the entire year for only $200!! Download the Parking Pass Application and send it in to our office along with your payment. Your pass will be included in your move in packet, or mailed to you if purchased after move in. Remember, your lot is monitored 24/7 and ALL CARS WITHOUT PASSES WILL BE TOWED AT THE OWNERS EXPENSE STARTING SEPTEMBER 22!!

Moving Out
Move Out Instructions
Your lease ends on August 31 and you must leave your home no later than midnight on August 31 (although we do not recommend waiting until the last moment as our crews arrive at most homes at midnight!) Any holdovers will be charged in accordance with the lease. Your home MUST be left SPOTLESS...which means not a single personal item or piece of trash! Any items left inside or around the home will be charged against your Security Deposit.
Information on Your Security Deposit Return
Your Security Deposit Return (SDR) will be sent to you within thirty (30) days after the expiration of your lease agreement pursuant to Ohio Lease Law. We will mail the SDR to the ONE forwarding address you provide to us IN WRITING (by fax, email or mail). Security Deposit Return forms are available below and must be turned in no later than 8/31 if you wish to receive your return on time! If we are not given a forwarding address, the SDR will be held until we are contacted in writing and given a forwarding address to send it to.
Enclosed with the check will be a detailed itemization of any and all deductions against your Security Deposit. Once again, due to the extreme workload we face during this time of year and because we are unable to determine which residents caused damage to the unit, we issue only one check per apartment or house and we do not write individual checks. The check contains the names of all residents of the apartment who had a valid lease contract with Nicastro Properties, LLC for the lease term. The check is a multiple-party check and must be endorsed by all parties listed on the check before it can be cashed. However, it is not necessary that all parties be present to cash the check. The last individual to endorse the check may take it to the bank and cash it. If you want the check made out to one person, all residents of that particular apartment must sign an agreement requesting us to do this. THERE ARE NO EXCEPTIONS.
In order to receive credit for your front and back door keys, you must leave them in the kitchen of your unit by midnight of the day your lease expiration. The keys must be enclosed in an envelope with your full unit address on it. NOTE: BEDROOM KEYS SHOULD BE LEFT IN YOUR BEDROOM LOCK! MISSING BEDROOM KEYS WILL BE CHARGED TO RE-KEY! The failure to return all of your keys will result in a door lock re-key charge of $180.00. Note: We have a very strict policy on keys and failure to properly turn in your keys could be very costly!
Remember: you must vacate your apartment no later than 12:00 Midnight August 31. No holdovers will be tolerated! Failure to vacate your apartment on time will result in a $100.00 per day charge that must be enforced.
Please make sure that you pay your last months rent. Your Security Deposit cannot and will not take the place of your last month’s rent. Anyone who tries to do this will be charged late fees and be subject to eviction. Evictions can be costly and damaging to your credit. If we have not received your rent by August 1st, we will begin the eviction process by serving you a 3 day "notice to leave the premises" in order to protect the integrity of our business. Evictions are costly, time consuming and embarrassing and they affect all tenants on the lease as well as their co-signers. Please pay your rent on time and closely communicate with our office.

Below are the documents you will need on move out. First are the instructions for move out which are designed to help you to minimize deductions from your Security Deposit. If you follow the guidelines there is less of a chance you will be charged for damages when your Security Deposit is returned. The second is the Security Deposit Return Form which is required to get your security deposit back.
Maintenance
As per your lease, you are responsible for all general maintenance during your stay in our home. The maintenance of your home is something that should be as important to you as it is to us because a properly maintained home will make your stay very pleasant, and you could be liable for damages caused due to your neglect! While your stay at the home may only be a year or two, we manage the home long after you are gone and we ask that you do you part in keeping the home well maintained. The upkeep of our houses is very important to us and we need your help in having any needed maintenance performed as soon as possible.
Often times people new to renting a home are unfamiliar with the proper way to care for a home. We ask that you remember that you are a guest and you are not permitted to cause any damage during your stay. A good rule of thumb is that if you would not do it in your parents home, do not do it in ours! Remember - you are responsible for the actions of your guests). WE WILL NOT TOLERATE ANY DAMAGES. IT IS POSSIBLE TO ENJOY YOUR HOME WITHOUT DESTROYING IT!

As a service to our residents we allow regular maintenance requests to be emailed to Campus Handyman via www.CampusHandyman.com. In most cases, this will be free of charge to you*. When requesting maintenance please note if you are the cause of the maintenance request (ex. busted window caused by resident or guest) you will be billed back!!! Remember – although we allow you to use Campus Handyman (most times free of charge*) YOU are ultimately the ones responsible to ensure that the home is properly maintained! If you have ANY questions regarding this policy please do not hesitate to email us!
Emergency maintenance requests should be emailed to us AND submitted via www.CampusHandyman.com with the “emergency” option selected! For security breaches or serious illness, please call 911 and calmly give the dispatcher your name and address.
Customer Satisfaction
Over the years situations have arisen where residents have gone the duration of the lease without complaining only to complain at the end of the lease about a water problem from 6 months ago. We do anything we can to avoid situations like this by pleading with you to take responsibility for your maintenance requests! If you have water in your home, it is in your best interest as well as your responsibility to fix the problem! We allow you to use Campus Handyman at no cost* and we also do our best to set the expectation that you must take responsibility for your home. If you feel that Campus Handyman did not do a good job or if you have a specific request or complaint please let us know immediately so we can fix the problem sooner rather than later!
